Our Edmonton office has an immediate opening for a Legal Assistant, in our Professional Regulatory/Labour + Employment Department where you will work with a variety of our firm's team members and will be responsible for the general administration of multiple practices which includes a heavy concentration on administrative law and professional-regulatory law. The ideal candidate will have extensive experience in administrative law and is proactive, self-sufficient, and has high attention to detail and organizational skills.

Duties + Responsibilities

  • Preparing, amending, and comparing letters and legal documents
  • Ensure that limitation diary is accurate as well as all litigation documents are sent to litigation support so that documents in Eclipse are up to date
  • Answer the telephone, schedule appointments, questionings and meetings, greet visitors and handle administrative and business details
  • Transcribe correspondence and legal documents from digital recordings or handwritten notes
  • Schedule meetings and/or questioning and mediations.
  • Providing back-up for other assistants in their absence.
  • Manage lawyer's diaries and update electronic calendar
  • Review correspondence (including faxes and e-mail), co-ordinate the flow of information, update the calendar and respond to routine inquiries
  • Review and proofread outgoing documents to ensure they are correct and comply with legal procedures
  • Ensuring file management system is up to date
  • Managing the diarization of important dates
  • Overseeing the opening and closing of files as well as filing of physical documents.
  • Access and use online legal resources
  • Submitting/Filing documents (i.e., LTO, Courthouse).
  • Manage routine accounting procedures: billing including client follow up on outstanding A/R. cheque deposits/requests, time entry, submitting lawyer's receipts for reimbursement, etc.
  • Perform general office duties as required
  • Arbitration/grievance hearings prep
  • Other tasks as assigned

Qualifications + Skills

  • 3-5 years of experience preferably working in a professional regulatory/labour + employment practice area
  • Recognized 2-year Legal Assistant Diploma
  • Advanced computer skills
  • Strong analytical skills and problem solving with minimal supervision

Working Conditions

  • Normal weekday office hours (35)
  • Must have the ability to work in a fast-paced work environment
