As a Legal Department Coordinator, you will be responsible for working with the Chief Legal Officer, in-house lawyers (both Saint John and Portsmouth), and our external law firms in all jurisdictions where we operate. This role provides critical day-to-day leadership in managing corporate record information. You will be involved in confidential projects and/or initiatives that will require you to work collaboratively with multiple stakeholders across and outside of the company.

Your goal will be to work with the internal legal team to ensure the proper and compliant preparation and maintenance of our corporate records while performing various paralegal and administrative duties. Your success will be determined by leveraging your experience to ensure efficiency and effectiveness in the drafting, maintenance, and administration of corporate records and other assigned duties.

Your Responsibilities:

  • Responsible for corporate paralegal duties including managing the company’s corporate records by ensuring compliance with all filings, ensuring relevant documents are included and kept up-to-date.
  • Responsible for timely and accurate filing of all New Brunswick annual returns and business name renewals and oversee all extra-provincial filings with external law firms
  • Responsible for assisting with required filings for incorporations/amalgamations/corporate dissolutions, and coordinating with external law firms with respect to extra-provincial matters
  • Maintain utmost confidentiality on all matters you are involved with
  • Foster a process improvement mindset to increase departmental efficiencies
  • Provide support as required to ensure efficient administration to CLO and general counsel members
  • Support ad-hoc requests as needed

  • General understanding of corporate law requirements for legal entity management
  • Strong analytical skills and attention to detail
  • Ability to build strong relationships and establish credibility with the business
  • Must excel and perform in a team-oriented environment
  • Strong verbal and written communication skills
  • Eagerness to learn and take on challenging tasks
  • Be familiar with all applicable job related software
  • Change management skills

Your Experience:

  • Minimum of 5 years of experience as a corporate paralegal
  • General knowledge of and experience in legal corporate record keeping and filing
  • Experience working in a law firm would be considered an asset
