Reporting to the Director, HR + Administration and the Partner in the office, this role plays a big part in assisting professionals in their day-to-day work. The role will require client service, both internal and external, preparation of many types of legal documentation, and overseeing the smooth flow of physical procedures within the Yellowknife office.

Duties + Responsibilities

  • Preparing commercial or other legal documents for the Partner’s signature.
  • Preparing commercial or other legal documents for client signature.
  • Preparing board room for client meetings.
  • Welcoming clients for client meetings.
  • Assisting Legal Assistants with physical files or paper prep for the Partner.
  • Preparing court and land title’s packages per instructions provided by Alberta offices or the Yellowknife Partner which includes:
    • Receiving instructions.
    • Receiving documents.
    • Preparing package.
    • Scanning packages.
    • Scanning filed or returned documents.
    • Reporting filed or returned documents.
  • Performing daily rounds which includes but is not limited to:
    • Depositing trust cheques.
    • Delivery of packages to corporate registry.
    • Delivery of package to courthouse.
    • Delivery of packages to land titles.
    • Performing court searches.
    • Collecting registered mail when notifications are received.
    • Delivery of other packages as needed.
  • Managing incoming and outgoing internal mail.
  • Distributing incoming internal mail.
  • Logging, scanning, and reporting mail that has been asked to remain in the Yellowknife office.
  • Preparing outgoing mail packages via courier when necessary.
  • Working with Edmonton Office Services on general office inventory and functioning.
  • Coordinating with Edmonton Office Services/Helpdesk to troubleshoot any technical office issues.
  • Creating labels
  • Doing searches (Litigation, CMHC, Corporation)
  • Serving court documents to employers (Garnishees)
  • Picking up and dropping off packages
  • Other tasks as required.

Qualifications + Skills

  • High school diploma.
  • Experience working in a law firm or a similar professional setting.
  • Advanced computer skills.
  • Excellent organizational skills with strong attention to detail.
  • Excellent follow-up and bring-forward skills.
  • Strong analytical skills and problem solving with minimal supervision.
  • Ability to prioritize effectively and handle high pressure deadlines.

Working Conditions

  • Ability to work in a fast-paced and dynamic work environment.
  • Normal week-day office hours (35).
