Intellectual Property Operations Administrator
Hybrid Work- on average 3 days/week from office
Minimum 1 day from our Mississauga office and 2 days from our Mississauga or Downtown (temporary) office
Summary:
Protecting our intellectual property is at the core of AstraZeneca’s future success. As an Intellectual Property Operations Administrator you will play a pivotal role in safeguarding our innovations. This position offers a variety of interesting, important, and demanding work, providing essential and specialized support relating to the filing, procurement, and maintenance of patent applications and patents throughout all phases of US, European, and international patent prosecution. You will be part of a collaborative, close-knit team that takes enormous pride in its meticulous attention to detail and expertise in patent procurement. The work will require daily interaction with patent attorneys and third parties.
Typical Accountabilities:
Intellectual Property Systems Support
Work with the IP Operations team and Global IP function to ensure all patent and trademark systems are up-to-date and fully functional. Ensure all team members are granted access and set up in the systems.
Support execution of various legal documents required to obtain and maintain AZ’s global patent and trademark portfolios
Manage Power of Attorney documents for the IP and Trademarks groups
Manage Patent and Trademark Deposit Accounts for USPTO, WIPO, EUIPO, etc.
Coordinating with international teams to ensure seamless global operations.
Assist with the execution of the Global IP Legal Department’s systems and processes, potentially including,docketing systems, document management, billing matter management.
Collaborate with others across Legal and Legal Operations, Finance, Procurement, IT, Regulatory and Global Business Services
Manage vendor relationships, Global IP subscriptions, and various Bar membership dues.
Processing payments via Coupa and other financial systems.
Essential Skills and Experience
5-6 years of administrative experience, less experience may be considered if you have experience in the legal field
Self-motivated, with proven organizational skills and ability to manage multiple high-priority tasks and deadlines.
Excellent interpersonal and communication skills to interact with a diverse and international team of attorneys, staff, and inventors.
Strong financial and technical competence
Excellent proficiency in MS Word, Outlook, Adobe Acrobat, and MS Excel.
Ability to effectively multitask in a dynamic environment while maintaining confidentiality and discretion.
Desirable Skills and Experience
An undergraduate degree and/or a recognized qualification in Patent/Trademark Administration.
3 or more years of experience working at a law firm, experience as a paralegal is highly desirable
Experience working in a global company
Knowledge of Anaqua, or a similar IP management system.
Knowledge of CounselLink, or similar Legal billing system
Knowledge of Worksite/iManage or a similar document management system.
