About the job
As an Administrative Assistant, you will: • type documents, charts, and presentations. • manage calendars, schedule travel, and take meeting minutes. • maintain a bring-forward filing system and track activities. • handle mail, office purchases, and equipment. • respond to phone and in-person inquiries. • assist with recruitment (schedule interviews, manage documents).
What you bring to the team
Administrative Knowledge and Skills:
You have the ability to: •apply administrative, secretarial, and clerical procedures. •schedule appointments and make travel arrangements. •create and maintain filing systems.
Communication, Interpersonal and Organization Skills:
You have the ability to: •collaborate effectively with others and work independently. •handle difficult calls diplomatically and empathize with clients' needs. •stay organized and prioritize your workload. •communicate effectively to serve clients and prepare accurate speeches and reports. •compose letters from brief verbal instructions. •work independently within strict deadlines.
Computer Skills:
You have the ability to: •proficiently use a range of computer software, including word processing, graphics, presentation, and database packages.
Financial Knowledge and Skills:
You have the ability to: •understand current procurement guidelines. •apply financial processes to coordinate purchasing and manage expense entitlements. •verify invoices and reconcile purchasing card statements for approval. •perform monthly reconciliations and manage expense claims.
