We're hiring for a hybrid role that is part Legal Administrative Assistant and part Junior Corporate Search Clerk. This is a fabulous opportunity to provide administrative support to some of our legal professionals, while honing the knowledge, skills and experience to take on Corporate Search Clerk work. Our ideal candidate will be a recent graduate from a Law Clerk or Paralegal program and have a strong interest in this niche area of business law which provides integral research and documents for deals across the firm. The team manages a high volume of fast-paced work, so an eagerness to pitch-in and go 'above and beyond' during busy periods will be a strong asset.

Key Responsibilities:

  • Conducts and summarizes due diligence searches.
  • Drafts and registers PPSA (Personal Property Security Act) registrations.
  • Coordinates across-Canada searches and registrations, as required.
  • Assists Corporate Search Clerks with accounts/billing and disbursements.
  • Processes and tracks agents' invoices, assigning disbursements to the correct accounts.
  • Responsible for various aspects of file management such as tracking and maintaining file numbers and organization of electronic files.
  • Performs administrative duties for legal professionals on the team including document preparation in Word, Adobe and Excel.
  • Assists the team with work overflow, absences and vacation coverage.
  • Ability to manage multiple files on a daily basis.

Knowledge, Skills and Experience:

  • Some experience in legal administration, Law Clerk work or Paralegal work an asset
  • Law Clerk or Paralegal Diploma is required
  • Ability to work paid overtime, as needed
  • Advanced knowledge of Microsoft Office (Outlook, Word, Excel, and PowerPoint)
  • Able to learn and utilize various software programs and applications
  • Comfortable in an environment of continuous learning with on-going formal and self-guided learning opportunities
  • Solution oriented with sound judgement to make informed decisions
  • Excellent verbal and written communication skills, with the ability to use discretion when dealing with confidential information
  • Solid organization and time management skills
  • Strong attention to detail and commitment to producing quality work
  • Professional, responsive, friendly, and able to build productive relationships
