Assist with the preparation and coordination of internal/external meetings and events.
Assist the HR Manager in preparing and organizing recruitment materials, employee records, and HR-related documentation.
Coordinate employee onboarding and offboarding processes.
Assist with tracking and maintaining attendance records for employees, ensuring proper coverage within departments.
Be an active participant in all office committees (social, OH&S, DEI).
Draft internal and external communications, ensuring professionalism and clarity.
Screen and prioritize phone calls, emails, and other communications to ensure efficient handling of tasks and inquiries.
Help coordinate firm events, seminars, and webinars, including logistics and communication with attendees in collaboration with our marketing department.
Coordinate sponsor-related activities, including sponsorship agreements, event participation, and relationship management.
Assist with organizing and maintaining the firm's records management system, ensuring compliance with legal and regulatory standards.
Assist with the coordination of office facilities maintenance, including liaising with vendors and service providers.
Handle general office upkeep requests and address maintenance concerns in a timely manner.
Skills & Qualifications
Degree or diploma in business, office administration or an acceptable combination of education and experience.
Three to five years of experience working in an office administration position.
Above average proficiency in Microsoft applications including Word and Outlook; proficient in Microsoft PowerPoint and Excel.
Excellent written and verbal communication skills.
Organized approach to multitasking in a high activity environment.
Ability to work independently as well as in a team environment.
Ability to handle highly sensitive situations in a professional, confidential, and courteous manner.
