About the role

Are you a motivated, high energy, and highly organized person with a 'can do' attitude? This position could be for you. As a Law Clerk, you will be a part of the Corporate Secretary's Office team in IFC's Corporate Legal Department. You will be responsible for supporting our Board of Directors, managing and making statutory and regulatory filings and supporting the Corporate Secretary team!

Here are a few ways you'll make a difference:

Boards and Committees

  • Act as the key point of contact for the IFC Board of Directors delivering the logistics of the Board meetings, including arranging meeting invites, room bookings and catering, including coordinating travel arrangements including flights, cars, hotels and meals and expense management.

  • Support planning, scheduling and organizing the meeting schedule for the Board of Directors and Board Committees.

  • Responsible for meeting management administration including handling meeting invitations and logistics and tracking attendees.

  • Support the collation and circulation of meeting materials via the board portal (Dilligent).

  • Maintain Director information and fee schedules.

Filings

  • Responsible for maintaining the list of filings to be delivered within the team, liaising with senior individuals and key stakeholders across the business to fulfill statutory and regulatory filings.

Team and Corporate Support

  • Management of the payment of expenses and creation of purchase orders.

  • Support the Corporate Secretarial Manager in maintaining team schedules, action lists and procedural documents.

  • Perform a variety of legal and administrative duties while coordinating and assisting other law clerks or lawyers with assigned matters.

  • Other legal and corporate secretarial functions (such as answering questions from, and identifying and providing documents to, various Business Units).

  • Support in special projects and any other related task.

Your Skills

  • Superior organization skills and ability to deliver results in a fast-paced dynamic environment.

  • Excellent listening and communication skills and the ability to tactfully foster strong working relationships.

  • Strong resourcefulness, ability to work autonomously and strong judgment.

  • Ability to handle multiple priorities and deadlines.

  • Proven ability to maintain discretion and strict confidentiality.

  • Experience of working in a large organisation within a legal/corporate secretarial team or as an Executive Assistant.

  • Paralegal/Law Clerk Diploma in College Studies (CDS) or undergraduate university degree in law (or equivalences) would be an advantage.

  • Strong computer skills, including but not limited to Word, Outlook, and corporate databases.

  • For candidates located in Quebec, bilingualism is required considering the necessity to interact on a regular basis with English-speaking colleagues across the country.

  • No Canadian work experience required however must be eligible to work in Canada.
