The position of legal assistant and translation process coordinator is entirely remotely based, as a temporary replacement for a period of one year, with the possibility of extension.


As a Legal Assistant and Translation Process Coordinator, you will :

  • Prepare, edit, format, print, scan and proofread correspondence, memos, reports, forms, labels, and long and complex legal documents, by dictation, typing or according to other guidelines, in accordance with the requirements established by MT>Version, or coordinate the preparation of the above documents with document processing specialists, if needed.
  • Proofread and check documents for clarity, formatting, spelling and grammatical accuracy.
  • Provide assistance with large-scale operations such as the preparation and management of all documents, including waiver requests and translation opinions.
  • Manage files by, amongst other things, opening new files; overseeing large and complex files, developing, maintaining and using an orderly filing and retrieval system to ensure easy access to paper or electronic record, and organizing client files.
  • Work with Records Management to create, maintain and store client records appropriately.
  • Update on a regular basis contact names and addresses in the supplier database.
  • Assist in the preparation and completion of time entries to ensure deadlines are met on a daily basis; check and coordinate customer invoice issues with the Accounting Department.
  • Provide ongoing support when other assistants are absent; provide help to assistants who have tight deadlines; work proactively, positively and productively as a team member.
  • Maintain and update one's professional knowledge by identifying and taking advantage of training opportunities.
  • Assist the Project Manager, MT>Version, with their duties and responsibilities, and act as a resource person for the day-to-day management of translation requests in their absence.
  • Carry out other assigned tasks.

As our ideal candidate, you will distinguish yourself by the following profile:

  • At least two years' experience as an assistant, preferably in a professional services environment
  • Experience in managing or coordinating translation projects; experience in translation considered an important asset
  • Legal assistant diploma, or college diploma in office administration or in information and communications technology
  • Excellent knowledge of French and English (written and oral bilingualism) and good knowledge of business and legal terminology
  • Ability to adapt to new technologies, as well as to project management and translation tools, and ability to learn quickly how to use them
  • Excellent customer service, communication, and negotiation skills
  • Autonomy, resourcefulness, flexibility, and thoroughness
  • Enthusiasm for challenges and a clear commitment to continuous improvement
  • Good computer skills and proficiency in Internet tools and e-mail systems, and excellent knowledge of the Windows environment and MS Office tools as well as PDF file conversion concepts; superior skills in word processing, spelling, proofreading, editing, page layout, and computer graphics
  • High level of discretion and confidentiality
  • Willingness to work overtime on an occasional basis
