Nature and Scope: The Legal Assistant performs a wide variety of responsible, complex and confidential administrative and technical duties. This position requires a high degree of initiative, tact and efficiency in the areas of organizational skills, written and verbal communication skills, interpersonal skills and computer skills. The incumbent must possess ingenuity in carrying out the functions of the position and must be able to organize and work under minimal supervision with extensive latitude for the use of initiative and independent judgment. Maintenance of confidentiality is of utmost importance.

During the absence of the Senior Legal Counsel, the incumbent must use skill and precision in ensuring that matters requiring attention are referenced to the delegated authority and handled in an expeditious manner where required.

The Legal Assistant contributes to good public and interagency relations by determining the nature of the requests and problems involved and channels inquiries to the appropriate personnel or departments. The Legal Assistant provides routine factual information /data to other internal and external departments.

The incumbent is responsible to provide legal and Labour relations research to the office of the Senior Legal Counsel in addition to the Labour Relations department where requested.

Work Environment: The majority of the day is spent at a desk, with continuous exposure to computer equipment and artificial lighting. A high level of concentration and accuracy is required at all times. A moderate to high degree of mental stress is encountered on a daily basis, to achieve deadlines and cope with confrontational interactions with clients and the general public.

Education:

  • Completion of Grade XII
  • Legal Assistant Diploma
  • 55 wpm typing

Experience:

  • Six months experience working as a Legal Assistant
  • Previous experience working in areas of Labour & employment Law and/or Civil Litigation
  • Must be an active Notary Public or be eligible to become one

Knowledge and Skills:

  • Exceptional organizational and interpersonal skills
  • Superior written and verbal communication skills and proficiency in editing material for clarity, accuracy and conciseness.
  • Knowledge and experience in minute taking and synthesizing information.
  • Proficiency in Legal Research and including use of Quicklaw, CANLii and Labour Spectrum.
  • Excellent computer skills and keyboarding, with a good working knowledge of various programs, including Microsoft Word, Excel, PowerPoint, Intranet/Internet, e-mail and the capability to learn new programs as required.
  • Ability to adapt to frequent change and work under pressure.
  • Ability to work collaboratively and build positive relationships with all management staff, and clients.
  • Possess a high degree of initiative, ingenuity, and ability to work with little supervision and maintain utmost confidentiality.
  • In depth knowledge of legal terminology and principles.
  • Organizing and maintaining files and diary systems.
